The attendee's id number is displayed; it cannot be changed. If you are adding an existing individual as an attendee, the id number, name and address will be shown. Otherwise, SAMS will assign a unique id number. If the ID number has already been used, you will receive a pop-up message that the registration is a duplicate – click to delete the duplicate record ID just entered.
Instead of the system's id number, you can use the license number field used for your own association numbers that you assign. It too can be used to draw from your individual table. This applies to Professional associations only.
SAMS displays the meeting number that this attendee is registering for.
The system automatically enters a date the attendee's registration form was entered. This can be changed as needed. Be sure to revise this date if it is near the expiration date of the discount period since the Received Date is used by SAMS to determine what fee amount to use.
Enter an optional title for the attendee's name, such as VP or President. This field can be added to the name badge template for printing badges.
SAMS automatically enters the first, middle initial, and last name of the attendee if you are pulling from the individual table. If not, you may enter the name here.
Enter the name that will appear on the attendee's badge. The attendee's first name will appear here automatically, but you can change it if you wish.
Enter a check to verify the attendee has picked up their badge. Usually used for on-site management.
This information is automatically pulled from the individual screen if you have a check in Use Position? in the meeting information screen. If you are not using the Position field than you may leave it blank. Additionally, if the individual does not have position information, you may add it to the attendee screen by pressing F2 on your keyboard and selecting the position you wish.
This field will hold the total CEU hours that the registrant may claim for all the events. After your event has been held, you may wish to manually enter the total from any type of form the registrant submits as completion of your course.
If the attendee is a member and you are pulling from the individual table, the member type is displayed here.
If the attendee is a member and you are pulling from the individual table, the member status is displayed here.
SAMS enters the attendee's firm name for you, if this attendee is in your individual database, but you can edit this field if it needs to be changed. If you are not pulling from the individual database, you may add a firm name here.
If this attendee is already in the individual database, SAMS will insert the attendee's address for you, but you may edit these fields. If you are not pulling from the individual database, you may add the address information here.
If the attendee was in your SAMS database, then the city was entered automatically. This field can be changed if your attendee has moved. If you are not pulling from the individual database, you may add the city here.
Enter the two-character abbreviation for the attendee's state. SAMS will insert the state for you if the attendee is already in your individual database.
Enter the attendee's zip code. SAMS allows for a 4 digit zip code suffix. If the attendee is in your SAMS database, then the zip code was entered automatically.
Enter the attendee's country here, if they are outside of the US. If the attendee is in your Individual database, then the country will be entered automatically.
Enter the attendee’s email address here. If the attendee is in your Individual database, then the email will be entered automatically. NOTE: this is the only field on the attendee screen that will update the INDIVIDUAL record when it is changed or deleted if you did not turn on "Update Indv Rec" in the Meeting table right menu options.
Enter the attendee's area code and home telephone number. If the attendee is in your individual database, the telephone numbers will automatically be entered.
Enter the attendee's area code and work telephone number. If the attendee is in your individual database, the telephone numbers will automatically be entered. If using an extension, the data must be entered with an x followed by the extension number - no spaces allowed. Example: 512-343-1049x102.
Enter the attendee's area code and fax number. If the attendee is in your individual database, the fax numbers will automatically be entered.
The first name that you enter in Guest Name will appear in the Guest Badge Name automatically when you tab to that field, but you can change it if you wish. If this field appears gray then you did not turn on "Use Guest?" in the Meeting table options. Use the Attendee table to pull in these fields for badges and reports. NOTE if you have more than one guest for any of your events, you must use the Guest Tab instead to list multiple guests.
The Questions fields contain the answers to up to six questions that may be asked on the attendee registration form. For example, a question might be "Is this your first conference?". The prompts for these questions are defined in the Meetings Info screen > Questions tab. The answers entered in these fields may be up to four characters long.
